About Tempo for QuickBooks Online

Securely connect Tempo to QuickBooks Online to dynamically share approved worklog data, then run your QuickBooks-automated payroll and invoice billable hours with confidence.

Because Tempo lets your team members easily track their time in context of their daily assigned tasks and delivers an integrated timesheet approval flow, you know exactly how much work was done, on what and, where applicable, for whom. Tempo’s built-in approval functionality ensures your worklog data is accurate and payroll-ready.

To share your approved Tempo worklogs with QuickBooks Online

Users in QuickBooks Online must be created or updated using the same email address as used in Jira. This is typically your users’ standard work email address. If the email addresses do not match in Tempo and QuickBooks, a sync error is generated.

When you open Tempo for QuickBooks Online, you will immediately see worklogs that have been sent for the current period. If there are any sync failures, you can verify this immediately. You can quickly verify if there are any sync errors directly from the Quickbooks App Overview page.

If the user exists in Tempo and cannot be found in QuickBooks Online, you can easily add them as a new employee. Be sure that the email addresses match.

To import existing QuickBooks Online customers to Tempo

Customers created in Tempo are automatically created in QuickBooks when worklogs are approved. To allocate worklog data to existing QuickBooks customers, they must also exist in Tempo.

To import customers from QuickBooks:

  1. Select Tempo > Apps or click the Apps icon on the Tempo sidebar to display the Tempo Apps and integration page.
  2. Click the QuickBooks tile in the Installed section of the Tempo Apps page, then click the Settings button at the top-right of the QuickBooks page.
  3. Click Import. A confirmation dialog is displayed, click Confirm to import all customers to the Customers view in Tempo > Accounts. A default QBO-<n> key is assigned to each customer.

Once imported you can associate customers with accounts to easily specify billable and non-billable hours.

Note: We recommend that you create new customers in Tempo to take advantage of the automation this provides. Customers from Quickbooks are not synced, therefore if you create new customers in QuickBooks, you will need to import those customers.

Sending worklog data to QuickBooks Online

When connected, Tempo sends all approved timesheets worklog data to QuickBooks Online.

Re-submitting timesheets

If an approved  timesheet is re-opened and modified, any changes are automatically made in QuickBooks online when the timesheet is re-approved.

Worklog data sent to QuickBooks Online includes:

  • Worklog owner
  • Date of work performed
  • Description
  • Total time worked

Worklog data also includes the related account category metadata and shows if work done on an issue is billable or non-billable.

It is shown in the QuickBooks Online Weekly Timesheet view as follows:

Work logged on an issue with no account and no account work attribute

  • QBO Customer name field is not populated.
  • QBO time entered is not marked as billable work

Work logged on an issue with a customer's billable account or has a billable account work attribute value

  • QBO Customer field is populated
  • QBO time entered is marked as billable work

Note: if the account is not linked to a customer in Tempo, the Customer name field in QBO is populated

FAQs

What happens if I uninstall Tempo Timesheets?

If you uninstall Tempo Timesheets, the integration is disabled.  When you reinstall Timesheets, you will need to reauthenticate from the Tempo Apps page. 

If you approve any timesheets without re-authenticating, the related worklogs will not be shared with QuickBooks.  In this case, you would have to authenticate again and re-approve those timesheets to trigger the data sync.

What happens if a user is asked to correct and resubmit their timesheet?

All worklogs are automatically updated or deleted according to changes made when the timesheet is re-approved.

What happens if I create a customer in Tempo that already exists in QuickBooks Online?

Customers must have exactly the same name in both Tempo and QuickBooks. In the names match, the sync is seamless.  If the names do not match:

  • You will have two customer entries in Tempo when you import customers from QuickBooks.
  • When you sync worklogs associated with the customer, there will be two entries created in QuickBooks for the same customer, with slightly different names.

This can only be fixed manually. WE recommend that you create customers in Tempo, as they are automatically created in QuickBooks online when worklog data is synced on approval.

What happens if I create new customers in QuickBooks Online after I have imported customers to Tempo?

Simply Import customers again. Tempo will only import the new customers and add them to the bottom of the list. Note that customers created in Tempo are automatically created in QuickBooks online when worklog data is synced on approval.

Is job code information included in the Tempo worklog data?

Not at this time.
