Reviewing and approving team timesheets

With View All Worklogs permissions, you can view timesheets from the perspective of an individual Tempo user and as a team lead.  

Viewing the team's timesheet

Required Tempo product: Tempo Timesheets for Cloud

Required permission: View All Worklogs

The team timesheet provides team leads and project managers with a quick overview of the time that is logged by and planned for team members on different projects.

To view a team's timesheet:

  1. On the main menu bar, select Tempo > Teams. You can also click on the Teams icon on the Tempo Sidebar to the left.
  2. From the Teams page, click the name of the team you want to view.
  3. Choose Timesheet on the top right side. 

In the team's timesheet you can group worklogs by user, issue or project.  Non-working days are colored gray, holidays are red. The current day is outlined in blue.   

 

Approving or rejecting timesheets

Required permission: Approve Timesheets 

You can approve timesheets submitted by your team members. To approve a team member's timesheet: 

  1. On the main menu bar, select Tempo > Teams. You can also click the Teams icon on the Tempo Sidebar to the left.
  2. Click the name of the team you want to view.
  3. Choose Approvals on the top right side. 
  4. You can see the status for each team member's timesheet: 'Waiting for approval' (the member has submitted his timesheet), 'Ready to submit' (the member has logged the required hours, but has not yet submitted his timesheet for the period), or open.
  5. If a member has summited his timesheet for approval,  click Approve to confirm, or click Reject to return the timesheet to the team member for modification.

Timesheets can be approved on a weekly or monthly basis. You can configure the timesheet approval period for your teams by following the instructions here.

You can also submit 'Ready to submit' timesheets for your team members by clicking Submit". This will change the status of the timesheet to 'Waiting for approval'.

Note: Team leads are automatically granted Approve Timesheets permission. Tempo Team Administrators can grant themselves Approve Timesheets permission.

 

 Viewing all worklogs for a JIRA issue

Required permission: View All Worklogs

You can also view worklogs for a JIRA issue in the Worklogs section of the JIRA issue view. This section is visible to all users with a Work on Issues permission. With the View All Worklogs permission, you can choose to display all worklogs or your own worklogs by toggling the button on the top right, as highlighted below.

Adding a grace period to a timesheet

Required Tempo product: Tempo Timesheets for Cloud

Required permission: Approve Timesheets 

If a team member needs more time to complete a timesheet, you can add a grace period to any timesheet that is open or is waiting for approval. The team member can then add worklogs from the time the grace period is granted, for the number of hours specified in Grace Hours. They may add worklogs to any date in the period defined by Date from and Date to

  1. On the main menu bar, select Tempo > Teams. You can also click the Teams icon on the Tempo Sidebar to the left.
  2. Click the name of the team you want to view.
  3. In the Actions column for the team member needing a grace period, click the Options button Screen_Shot_2017-07-07_at_3.20.01_PM.pngand select Grace Period from the drop-down.
  4. Enter the number of Grace Hours you wish to add to the timesheet, the Date from, the Date to, and any Comment that you would like included. Comments are added to the last activity column for the timesheet and included in any email notifications that are sent.
